1. Scope of Policy

This policy primarily applies to Admission Application Fees paid through the Service. Other fees, if any, collected through this portal will be subject to their own specific refund conditions, if applicable, which will be stated at the time of payment.

2. Application Fees

2.1. Non-Refundable Nature: Admission Application Fees are charged to cover the administrative and processing costs associated with evaluating applications. As such, these fees are generally **non-refundable** once the application has been successfully submitted and payment is confirmed.

This includes, but is not limited to, situations where:

  • The applicant withdraws their application after submission.
  • The application is incomplete or does not meet the minimum eligibility criteria.
  • The applicant is not selected for admission.
  • The applicant changes their mind after payment.

3. Exceptional Circumstances for Refund Consideration

While application fees are typically non-refundable, HSS Sheikhpora may consider refund requests under the following limited and exceptional circumstances, at its sole discretion:

  • Verifiable Multiple Payments: If a technical error on the payment gateway or our Service results in an applicant being charged multiple times for the exact same application submission. Documentary evidence (e.g., bank statements clearly showing multiple identical debits for the same transaction reference) will be required.
  • Complete Program Cancellation by HSS Sheikhpora: In the unlikely event that HSS Sheikhpora officially cancels an entire academic program or admission intake for which an application fee was paid, and this cancellation occurs *before* any significant processing or evaluation of the submitted applications for that program/intake has commenced.

Refunds will not be issued for partial service disruptions or if alternative admission pathways are offered.

4. Refund Request Procedure

To request a refund based on the exceptional circumstances listed above, the applicant (or their parent/guardian) must submit a formal written request to the HSS Sheikhpora school administration within **15 (fifteen) calendar days** of the date of the erroneous payment or the official announcement of program cancellation.

The refund request must include the following details:

  • Full Name of the Applicant
  • Application ID (as generated by the portal)
  • Registered Email Address and Phone Number
  • Date of Payment(s)
  • Transaction ID(s) or a clear, legible copy of the payment confirmation receipt(s) and relevant bank statement section(s)
  • A clear and concise explanation of the reason for the refund request, specifically addressing how it meets one of an_exceptional_circumstance.

Requests can be submitted via email to the official email address provided on our "Contact Us" page, or delivered in person to the school office during working hours.

Failure to provide complete information or submit the request within the stipulated timeframe may result in the rejection of the refund claim.

5. Review and Processing of Refunds

All refund requests will be carefully reviewed by the HSS Sheikhpora administration. Additional information or clarification may be sought from the applicant if required.

The decision of the HSS Sheikhpora administration regarding any refund request will be final and binding.

If a refund is approved, it will be processed within **30-45 working days** from the date of approval. The refund will be credited back to the original mode of payment used for the transaction, wherever feasible. If not feasible, an alternative method will be communicated (e.g., bank transfer, for which account details might be requested securely).

Please note that any transaction charges, bank fees, or payment gateway fees originally deducted at the time of payment are typically non-refundable and may be deducted from the final refund amount, if applicable and not attributable to an error by HSS Sheikhpora.

6. Modifications to the Refund Policy

HSS Sheikhpora reserves the right to amend or update this Refund Policy at any time without prior notice. Any changes will be posted on this page and will be effective immediately. It is your responsibility to review this policy periodically.
